Freelance work hours

How many hours can a freelancer really work?

Short answer: fewer than you think, and it depends on what you mean. There are three different numbers hiding in that question. Once you know which one to plan from, the week stops running over.

Three answers to one question

"How many hours can I work" does not have a single answer. There is the number on your calendar, the number you can genuinely stay focused for, and the number a client pays for. The first is a lot bigger than the other two. Most weeks that run over start from the wrong one: you plan against the hours on paper, not the hours you actually have.

3

numbers hide inside "how many hours can I work". Only one of them is the number to plan your week against.

The three numbers

One question, three real answers

Roughly, for a normal working week. Your own numbers will vary, but the gap between them almost never closes.

At your desk

~40h

The hours you are technically working. Calls, email and admin all come out of this, so it is the least useful number for planning real work.

Focused work

25-30h

The hours of heads-down, concentrated work most people sustain across a week. This is the number your task list should add up to, not the forty.

Billable

20-30h

The hours a client actually pays for. Quoting, admin and switching between clients are real work, but nobody invoices them.

Which number to plan from

Plan from the smaller, honest number

The mistake is planning against the number on paper. Start from the focused hours you actually have and the rest gets easier: you can see the week fill before you commit to it, and you say yes knowing what it costs. A good week is not a full one. It is a realistic one. That is the whole idea behind planning from your capacity.

Honest answers

Questions worth asking first

How many hours a week can a freelancer work?
About forty if you count every hour you are technically working. The focused hours land closer to twenty-five or thirty. Of those, the hours a client actually pays for are fewer still, usually twenty to thirty across a normal week once admin and quoting are out. Plan against the focused number and the week stops overflowing.
Why can't I just work eight hours a day?
You can be at your desk for eight, but concentrated work rarely holds that long. After five or six hours the quality drops, and the extra time tends to go to email and small tasks. Sizing your day against the focused number keeps the plan honest.
Does this mean I am working less?
No. It means you are counting honestly. The unbillable hours, admin, quoting, switching between clients, are real work that was always there. Naming them is what stops you promising hours you do not have.
How is billable different from hours worked?
Hours worked includes everything you do. Billable is only the part a client pays for. The gap is normal and worth planning for, which is why the weekly billable number is usually lower than the hours you put in. There is a full breakdown on the billable hours page.
Can I plan my week this way in TaskBerry for free?
Yes. Sizing tasks, setting your daily hours, and the capacity bar that turns red are on the free plan. Time tracking and hours per client are free too; client reports come with Pro at €9.95 a month.
