Making and sharing a client report

How to turn your logged hours into a report per client, add a summary and send it to your client as a PDF.

Pro only

At the end of the month your client wants to know where the hours went. In Reports TaskBerry lines up your logged time per client, and that's where you turn it into a PDF you can send straight on.

Opening the report

  1. Go to Reports and choose the Client Report tab. In the cockpit, Reports is in the sidebar, or under More on your phone. In the classic view you'll find it at the top under Tools (on Free that group is called Pro), and in the menu on your phone.
  2. Pick the period. At the top, choose Week, Month, Quarter or Year. The arrows next to it take you back a period. With Custom you set your own start and end date.
  3. Pick the client. Above the report is a row with your labels. Click a label to see only that client. All shows everyone again.

In TaskBerry a client is simply a label. Every client you logged time for in the chosen period gets its own card in your report.

Just getting started, and last month's hours aren't in yet? You can fill them in afterwards with Log hours, day by day, up to a year back. Tracking time shows you how.

What's in it

Each client gets a card with the tasks you logged time on during that period. That includes tasks that aren't finished yet: if the time counts, the task is there. Each task shows only the time from that period, not everything ever logged on it. If you worked on the same task in September and October, the September report only has the September hours.

The task with the most time is at the top. Meetings you billed to that client sit underneath as lines of their own.

The Dashboard tab gives you the bigger picture: how much time you logged, how many tasks you finished and how your time splits across your clients.

Adding a summary

A list of tasks doesn't always tell your client what got done. Above the client cards you'll find Generate summary. It has TaskBerry write a short summary of the whole period, covering the clients you've selected. Read it through and change it by typing in the summary. Save draft keeps your version. Open a client card and there's also a summary for just that client, with Generate with AI.

Each task can also carry a short line on what the work delivered. Generate value statements writes those for the tasks in your report.

Making the PDF

At the bottom of the report you choose what goes on the PDF.

Under Per task you decide how much each task shows. There are three checkboxes: Show value statements (off: titles only), Show task descriptions and Show hours per task. That last one is off by default. If your client wants to see how much time went into each task, switch it on. Under On the page you switch things like the summaries and In-progress tasks on or off.

The PDF only contains the clients you've selected at the top. With All on, all your clients are in it. Making a PDF per client? Pick that one client first.

Want to see it first? Preview report opens the report in a new tab. Happy with it? Click Export as PDF. The PDF lands in your downloads with the period in the file name. You send it to your client yourself, for example attached to your invoice.

Copy link copies a link to this report with the same period and the same clients. When you open it, that period shows under Custom, with the clients you had selected. If one of those clients no longer exists or has no hours in that period, the report says so and leaves it out. It doesn't switch to showing all your clients instead. Handy for finding it again later or keeping it in your own notes. It's not a link for your client: you only see the report behind it when you're signed in yourself and have Pro. Your client gets the PDF.
